CLIENT SERVICES AGREEMENT

THE BOOKING
  • Bookings and subsequent agreements will be considered to have been made in Arusha,
    Tanzania, and will be interpreted in accordance with the laws of the United Republic of
    Tanzania.
  • The Company reserves the right to negate any bookings without providing an explanation.
DEPOSIT & PAYMENT
  • A 30% deposit is required to secure a booking, which will be applied towards the total cost of
    the trip.
  • If the full amount is not paid at least four weeks prior to departure, the booking will be canceled and the deposit will be forfeited.
  • For bookings within four weeks of tour departure, the full amount must be paid immediately to confirm the reservation.
  • All bank charges or transaction fees must be paid by the client or agent, and the full amount
    shown on the invoice must reflect in the Company's account. Otherwise, the Company may need to invoice the client/agent for the additional charges.
BOOKING AMENDMENTS

For changes to existing bookings made by the client/agent (e.g. departure dates, air tickets,
accommodation, number of participants, etc), a handling fee of 50 USD per booking will be
added to the service provider fee.

CANCELLATION AND REFUND POLICY

If you wish to cancel your trip, Arem Safaris must receive notice in writing from you (which can be sent via e-mail) prior to your departure date. The effective date of cancellation will be the date such notice is received by Arem Safaris. Cancellation fees, which are a percentage of the Trip
Cost, will be charged as follows: [list of percentage fees below].
Arem Safaris have taken into consideration the potential cost savings and the generation of income from other bookings that can use the canceled services when possible.

28-15 DAYS PRIOR TO DEPARTURE:75% of Trip Cost
14-0 DAYS PRIOR TO DEPARTURE:100% of Trip Cost

NOTE: During this time of COVID-19, this policy provides room for flexibility in deferring the
trip. In this case, the company will not incur additional costs. However, the customer shall be obligated to contribute additional funds if the season in which their trip is rescheduled is different
(e.g. booking during low season and postponed to high season).

The Company maintains the right to terminate any tour at its unrestricted discretion, with no
earlier warning if this is unavoidable. Nevertheless, if no money has been given to a third party, the Company agrees to refund all funds that have been paid by the customer. This is the only responsibility the Company has to the client and the Company shall not be held liable for any damages, regardless of the cause.

PASSPORTS, VISAS AND OTHER TRAVEL PAPERS
  • It is the client's responsibility to have the necessary passports, visas, health certificates, proof of vaccinations and other documents required for all countries to be visited.
  • The Company shall not be held accountable for any losses, claims, or damages if the client fails to take care of the necessary travel documents before the start of the tour.
BAGGAGE
  • At all times, clients are solely responsible for their baggage and personal items, and the Company will not be held liable for any loss or damage to them under any circumstances.
  • On domestic flights, clients are allowed one bag weighing no more than 15 kg, (either a backpack or soft bag-no hard top suitcases). The Company retains the right to refuse excess baggage. Please note that different baggage regulations may apply to tours and certain "bush" flights.
RISK

The client acknowledges that they are aware of potential risks associated with the tour and agree to assume full responsibility for any resulting injury, death, or damage to property. The client agrees to indemnify and hold harmless the Company, its agents, employees, assigns, and servants
from any liability or claims arising from their participation in the tour.

AUTHORITY ON TOUR
  • The decisions of the Company’s tour guide and operator shall always be definitive and
    mandatory.
  • The client must always abide by the laws, customs, and foreign money regulations of all nations visited.
MARKETING

The Company is granted permission by the Client to utilize any photographs and videos taken during tours for marketing purposes and other advertising material and to retain the copyright for such photographs and material. The Client hereby gives consent to the Company for such use. or The Company has permission from the client to use any photographs and videos taken during tours for marketing or any other advertising material; the client consents to this and agrees that the Company retains the copyright of these photographs and material.

FORCE MAJEURE

The Company shall not be held responsible for any delays or alterations to the tour caused by
any unanticipated events such as war, mechanical failures, extreme weather, or other causes
beyond its control. Any losses or expenses resulting from these occurrences shall not be the responsibility of the Company.

PRICE CHANGES

Our prices are determined by the national park fees and taxes applicable at the time of purchase. There are ongoing discussions that the East African countries may change their tax regulations
between 2020 to 2025. Should the authorities decide to raise these fees and taxes, which may not be part of the current scheduled plan, we would have to pass these increases on to our customers.
